Voids & refunds
Mistakes happen — a wrong item, a double scan, or a customer changing their mind. Here's how to put it right.
Void a sale
Voiding reverses a completed sale: it cancels the transaction and returns the items to stock.
Owners, Admins & Managers can void sales.
- Go to Sales and open the sale.
- Select Void.
- Confirm.
What happens:
- The sale is marked as voided.
- The items go back into inventory automatically.
- The void is recorded — who did it and when — because reversing money and stock is exactly the kind of action that needs a trail.
Why only managers and above?
Voiding affects both money and stock, so it's limited to Manager, Admin, and Owner. A Seller who needs a sale voided should ask a manager. This protects against accidental — or deliberate — reversals.
Refunds
A void handles reversing the sale itself. How the money goes back to the customer depends on how they paid:
- Cash — hand back the cash.
- Mobile money / card — refund through the same channel you took payment.

Best practices
- Void promptly. Reversing a sale soon after it happens keeps your stock and takings accurate for the day.
- Use the discount reason field at checkout instead of voiding and re‑ringing, when a customer just needs a price adjustment.
- Check the record. If voids seem frequent, the sales history shows who's voiding and why — worth a look.
