Profitability tracker
The profitability tracker turns your sales data into margin insights. If you've entered cost prices on your products, it shows exactly how much you're making - per product, per category, per staff member, and more. You'll find it under Apps → Profitability.
Owners, Admins & Managers can access the profitability tracker. Sellers see only the floor‑price check at checkout.

Before you start
The tracker works best when your products have cost prices filled in. Cost price is the amount you paid for the item - your wholesale or purchase price. Set it when creating or editing a product, or update it in bulk from the Pricing Board (below).
Products without a cost price won't show a margin, and the dashboard will flag how many are missing.
Pricing Board
The Board tab is your product pricing overview. Every non‑archived product is listed with its cost price, display price, margin, stock, and status.
From here you can:
- Edit cost price and display price inline - click the value, type the new one, and save without opening the full product editor.
- Set a floor price - the minimum you're willing to sell a product for. At checkout, the POS checks against this floor so staff don't accidentally discount below it.
- Filter by category, tag, price range, or stock status to focus on the products that need attention.
- Spot missing data - products without a cost price are highlighted so you can fill gaps quickly.
Dashboard
The Dashboard tab gives you a financial snapshot:
- Product snapshot - total products, in‑stock count, units sold, and out‑of‑stock items.
- Financial health - stock value (at retail and at cost), total revenue, cost of goods sold (COGS), and gross profit with a margin percentage. A warning appears if products are missing cost prices.
- Trend chart - revenue, expenses, and profit over time, with day, week, and month views.
Use the date‑range presets (7 days, 30 days, 90 days, all time) or pick a custom range. You can also filter by category and tag.
Breakdowns
The Breakdowns tab splits your profitability six ways, so you can see where you're really making - or losing - money:
- By category - revenue, COGS, gross profit, and margin for each product category.
- By tag - the same metrics grouped by product tag, useful for ad‑hoc groupings like "seasonal" or "clearance."
- By promotion - revenue generated under each promotion, the discount given, COGS, net profit, and effective margin. Shows whether a promotion is actually paying for itself.
- By staff - revenue, profit, margin, and average discount per staff member. Helps identify who's selling profitably and who's discounting too heavily.
- By customer - revenue, profit, margin, and number of sales per customer. Requires customers to be attached to sales.
- Discount impact - total discounts, split between promotions and manual markdowns, with margin before and after.
Shrinkage
Below the breakdowns, a shrinkage panel shows inventory loss: total units lost, loss valued at cost, and loss as a percentage of stock. This draws from LOSS movements and negative adjustments in your inventory records, so the number stays honest even if losses are logged at different times.
How margins are calculated
- Unit margin = display price − cost price.
- Margin % = (profit ÷ revenue) × 100.
- Gross profit = revenue − total COGS.
Cost price is frozen on each sale at the moment the sale is made. If you update a product's cost price later, past sales keep the cost they were recorded with - so your historical margins stay accurate.
Tips
- Fill in cost prices early. The more products that have a cost price, the more useful every view becomes.
- Use floor prices for high‑value or negotiable items, so checkout staff have a clear boundary.
- Check the discount‑impact breakdown after running a promotion to see whether it drove enough volume to cover the margin it cost.
- Watch shrinkage - a rising loss percentage often points to a process issue worth investigating before it grows.
